Overview
There are a number of features available when an order is in back-order status
Some of these such as "reprocess" or "split order" are available in the standard "Orders Overview" page, however there is a separate dedicated Back-Orders page that has more functions and more user friendly view of the back-order stock statuses.
Please navigate to Orders > Back Orders:
Here you are able to see at first glance the exact stock status of each product line for each order, either a green symbol is displayed or a red warning if no stock is available yet.
Splitting Orders
On the example above there is only 6 units available out of a total 10 required.
The rules setup for this client dictate that the complete order is held on back-order until all stock is available so it has held the in-stock line (please see back-order rule guide if unsure).
However if i wanted to let the customer have the in-stock line quickly i could simply hit the "Split-Order" button in the actions column on the far right.
After doing this you will get a success message if the order has been split, and will now only leave the out of stock item on back-order:
You will see the split part of the order is now in new status with a part 1 of 2 denoted:
You can also do this in bulk by ticking multiple orders on the left hand side, and select split orders from the order actions at the top and hitting go:
Reprocessing Back-Orders
Depending on the auto reprocess rule setup (either Y or N in customer accounts settings) when a back-order has full stock allocated it will either automatically get reprocessed to new status or sit in back-order waiting for the user to reprocess.
The auto-reprocess function takes around 15 minutes if you have the delay setting on 0 in customer accounts. However you can still use the manual reprocess button if you need it done quicker than the system auto-routine.
Note, if an order has an order item change, for example you have added or removed an item from the order, the system will not auto reprocess this type of order. You will need to reprocess these manually as the system will assume you are still making changes to it.
Un-Allocating & Allocating Stock
Again depending on the default rules setup - you may need to manually allocate stock to back-orders or change how the system has allocated - if the stock is required for a more urgent customer and not enough stock has arrived for all customers for example.
Firstly to un-allocate stock, please simply tick any orders that have stock allocated to them and then select un-allocate stock from the order actions options and hit Go:
You will get a success message and now notice there is no stock allocated to the back-order any more making it available to allocate to other orders:
To allocate the stock to another order, simply tick the required orders and instead select Allocate Available Stock from the actions and hit go.
You may now wish to reprocess the order into New Status depending on auto-reprocess rules setup.
Editing & Cancelling Back-Orders
You can also completely remove items from a back-order if need be if for example no more stock deliveries will be made for an order or replace them with other items.
Simply hit the Edit button on the far right actions column and a new tab will open to edit the order. There you can remove items, add items or change their QTY's:
Lastly you can cancel back-orders completely from the system if you wish by selecting the cancel button on the far right, or in bulk again by selecting orders and selecting cancel from the order action drop down.
Cancelling a back-order will unallocate any stock allocated to in-stock lines and remove any stock figures from the required by back order stock level.
